  1. Blatantly copying the idea of the PJOPS Vault, here is one thread containing everything to do with the PJ00s Song Contest.

    Click here for a comprehensive list of all previous entries. (For the purposes of rankings, ties are not broken unless they are for first place.)

    The list includes:
    - the number of points received; and
    - the percentage of the total available points they received from users who voted (i.e. the points that each entry received as a percentage of the total points it would have got if everyone else had given it a 12, excluding people who didn't vote at all).

  4. General inclusion/exclusion criteria for entries:
    • must have been first released between 01.01.2000-12.31.2009
    • no UK top 20 hits
    • no US top 20 hits
    • no tracks from a US or UK top 10 album
    • no covers or prominent samples of famous songs
    • no relatively famous/chart-successful cover versions of your desired entry (if it's the original version) recorded by a different act
    • no songs (or covers of songs) that have competed in the Eurovision Song Contest (semi-finals or finals)
    • relatively unknown/underrated on Popjustice - so as a general benchmark, nothing from an artist with more than 10 pages of discussion on PJ (across all their artist threads)
    • no entry that has been previously entered in a previous round of PJ00s (list of past entries here), PJSC (see the wiki), or PJOPS (list of entries here; the '00s crossover round list can be found here). Additionally, no entry that has been previously vetoed in PJ00s (in general, these acts will most likely be vetoed again, unless the reason for the veto was that the song was previously entered in a different song contest).
    Songs that fail these criteria should be vetoed by the round host. Songs that pass these criteria should be PMed to the veto panel for their decisions, with at least a 2/3 majority vote required for a song to be be included in the contest.

    Repeat artists guideline:
    - the same act (in any form - solo, group, featured, etc.) cannot be entered for FOUR rounds since their last appearance (i.e., a non-winning round 8 act can be reentered no sooner than round 13, and in round 9, non-winning acts from rounds 1-4 are generally eligible again)
    - for the winner of each round, that artist cannot be entered again (in any form - solo, group, featured) for the subsequent TEN rounds
    - if the same artist wins TWO rounds of PJ00s in any form (solo artist, group, feature, etc.), that artist is no longer eligible for future PJ00s rounds

    Voting rules:
    • You can award points to 10 entries per round. Award points ranging from 12, 10, 8, 7, 6, 5, 4, 3, 2, and 1 (with 12 points going to your favorite entry).
    • Only people who submitted a participating song can vote.
    • Entrants cannot vote for their own submission.
    • All entrants who fail to vote by the host's deadline will have their final scores be cut in half.
    Repeat non-voter policy:

    Non-voters negatively impact both themselves and everyone who voted for them. Therefore, participants who fail to cast their ballots by the voting deadline for two consecutive rounds, or for 3 non-consecutive rounds out of 5 sequential rounds, will be banned from entering the next 5 rounds.

  8. Hosting Prerequisites/Expectations:
    - Starting from round 8 onwards, first-time song contest/rate hosts, or any host who has previously not finished a rate/song contest and has neglected to pass the rate/contest materials along to another forum member, need to designate a backup host prior to being able to accept the PJ00s the hosting gig. The backup host should be someone who has previously hosted at least one PJ song contest or rate, and who is willing and able to assume hosting duties should the host not be able to finish the round for any reason. The host and the backup host can discuss in advance what the nature of their arrangement will be - i.e. whether the backup host will receive contest files upfront, or only in the case of the host not being able to finish the round. (Any PJ00s host who has previously hosted a song contest or rate to completion may designate a backup host if they so choose, but this isn't required.)

    - The host must post the complete list of round participants in the contest thread no later than at the beginning of the voting period.

    - Hosts should be expected to be active and present in the thread and in PMs for the entire duration of the contest. Specifically, they need to log onto the forum and check the contest thread and their PM box at minimum once per week for the entire duration of the contest in order to be able to address any issues that come up, or otherwise notify others about issues.

    Hosting Instructions:

    Timeline:

    - the new round should ideally open within 7-10 days of the the prior round finishing
    - each round lasts around a month, maybe a bit longer, from start to finish
    - the song submission period is usually 7-10 days
    -- for a smooth transition between the end of the submission period and posting the song list, you can always ask people who submit veto bait and/or last minute entries to also provide a backup, and then send both their first choice and their backup to veto panel. That way fewer people are still in limbo when submissions close.
    - once the song list goes up, the voting period usually lasts 2-3 weeks
    - once you have closed voting and posted the list of who submitted which song, you may no longer accept any ballots from non-voters or honor requests from people to change the songs/order of their ballots.
    - ballot reveals generally happen on weekends, sometime in the evening in Europe/afternoon or midday in the US, though the timing is up to you and your schedule.

    Side Themes

    - side themes are totally optional! If you can't think of one, you can always get suggestions from the thread, or decide to skip this completely. Themes that restrict what kinds of songs can be entered are generally discouraged in PJ00s.

    The Hosting Spreadsheet

    Here is a blanked version of the Excel template we use for PJ00s.

    This is a read-only version, so to use it, go to "File" -> "Make a copy" and save it in your own Google Drive.

    How to use the spreadsheet

    It may look a bit complicated at first, but it's really fairly straightforward. There are some notes in the spreadsheet that have some basic instructions (if you see a little black triangle in the corner of a cell, you can hover over it and it'll give you a note). I'll give a rundown here of how it works, but let me know if you have any trouble.

    The spreadsheet has three tabs:

    - In the "Step 1 - Entries" tab, you fill in those three columns with peoples' username, entry (in the format Artist - Song), and the link (a YouTube link, most likely) to their song. You can ignore the #REF! messages as they are only relevant for PJSC (they're designed to automatically populate if you are accepting submissions via Google Forms, which PJ00s isn't set up to do).

    - In the "Step 2 - Scoreboard" tab, people's usernames and entries should become automatically filled in in the first two columns after you've entered them in the first tab. Then when you start getting people's votes, you can enter their names along the top row and then fill in their scores.

    When you enter the scores, have a look at the "average checker" row in sheet 2. It should be the same for all columns. (This row was introduced because there have been a couple of instances in PJSC in the past where a score has been put in the wrong place or left out altogether and it's messed up the results).

    - When it's time for the reveal, the "Step 3 - Organising Results" tab is where you can copy-paste the scoreboards from after revealing each person's votes. You'll have to sort each of those scoreboards in descending order by Column 2, then you can just highlight the two columns and you'll be able to copy and paste the scoreboard over to the forum. It's worth testing this in advance as it's a lot faster doing it this way than having to type out the leaderboard each time!

    If it sounds a bit convoluted, it should become clearer once you start using it! Oh, also, if you scroll to the right of the first tab, you'll find a copy-pastable song list for when it's time to post the list of songs. (As noted in the spreadsheet, you can run it through random.org/lists to randomize the order of the song list.)

    Also, once you have finished revealing all the scores at the very end, don't forget to post the final leaderboard with ranks (including all the scores you have halved for non-voters) and post the video of the winning song!

    Unlike PJSC, you don't have to break any ties unless there is a tie for first place, in which case the entry with more 12s wins (and if it's the same number of 12s, the one with more 10s - or if it's the same number of 12s, the one with most 8s). If you scroll to the right of sheet 2 of the spreadsheet, you'll see three columns which tell you how many 12s, 8s and 10s each entry has received.

    Setting Up Your Thread

    Feel free to copy things from the intro posts in any previous round. Our PJ00s vault is a useful resource - there you should find:

    - our inclusion/exclusion criteria, voting rules, the repeat non-voter policy (and list of current non-voters)
    - a list of panel vetoes from previous rounds
    - previous rounds' summaries.

    The Veto Process

    - Once the round starts, start a new group PM thread with the veto panel (the composition of the panel in any given round will be sent you via PM beforehand).

    - In this group PM, please send entered songs along with their YouTube links in batches of five to try to anonymize who entered them (you can't send more than five videos in a PM anyway).

    - Once all three panelists have voted yes or no on a song, the song has passed veto if it receives 2/3 or 3/3 PASS votes. The song fails veto if it receives 2/3 or 3/3 VETO votes. Once a verdict has been reached, PM the song's submitter to communicate the veto panel's decision, and to solicit a backup entry if necessary.

    - If any voting veto panelist's entry gets a split vote from the other two panelists, then the affected panelist's vote can't be the deciding vote, and the host serves as the tiebreaking vote. The affected panelist will still cast a vote in the veto PM thread for the sake of appearances, but then separate from the group thread you can message the panelist privately with the PASS or VETO verdict.

    - If you receive any of the following types of entries, you can reject them immediately - but please mention them to the veto panel to say that you've done so:
    1. Previously vetoed songs
    2. Songs that were previously entered in any PJ song contest - PJ00s, PJSC, or PJOPS
    3. Songs from non-winning acts that have been entered in the four preceding rounds (so for round 10, any act entered in rounds 6, 7, 8, or 9 is ineligible)
    4. Songs from an that has won PJ00s in the last 10 rounds
    5. UK top 20 singles
    6. US top 20 singles
    7. Any track from a UK or US top 10 album (if something appears on an artist's album but you know it is also on a top 10 soundtrack or compilation or something, use the artist's album position to determine whether or not to auto-reject them, but mention to the veto panel the existence of the soundtrack or compilation)

    You can check chart positions on polyhex.com (UK), billboard.com (US - this is a bit fiddly as you have to use the search function to find the artist) or good old Wikipedia.

    If you want to use any stats from previous rounds or refer to the list of previously-submitted entries, it's all in the PJ00s Vault thread.

    Organizational Tips and Tricks from Former Hosts @Mina & @londonrain (feel free to use/modify as needed, or totally ignore)

    - We started the round's PJ00s spreadsheet as soon as we opened the round. When people began PMing us entries, we tentatively added their name, entry, and song link into sheet 1 of the spreadsheet. Once their song had been sent to veto panel, we color-coded the applicable spreadsheet cells yellow. If their song passed veto, we changed the color to green, and if it failed veto, we changed the cell containing their username to red and deleted their entry.

    - Once the voting period began and we started receiving ballots, we color-coded the cells containing usernames in sheet 2 of the spreadsheet to green once that user-had voted. To stay on top of things, we entered their ballot in sheet 2 of the spreadsheet as soon as possible.

    - For reveals, we created a Google doc with headers for each participant (done by bolding their name and creating a line of text below that that isn't bolded), which in Google docs leads to a handy menu appearing on the left side of the screen that displays and auto-links each header. Our style preference was to number each ballot relative to the total number of participants that round, i.e. 1/40 - @voter1, and so on. When a participant PMed us their votes, we would copy-paste the content of their PM into our Google doc under the heading with their name, and after every ballot or two, we would post the current leaderboard from the spreadsheet into the Google doc (with the BB code intact so that when pasted into the forum, the formatting would work). (Note: there's no requirement to present ballots during the reveals in the order in which people PM their ballots to you.)
